Definition: Buffer is the additional information
& explanation given for the convenience of the reader in the
letter.It is used to decrease the impact of a Negative information in
the message.
While refusing an Order Letter, as an inductive plan Buffer is used as under:-
(1) Thank the Customer for his interest in your product an then repeat the detail.
(2) In Buffer statement, in a positive manner, tell the Customer that his Order cannot be completed.
(3) Select the most effective way to convey Bad news so it is accepted in a favourable manner.
(4) The main aim is to satisfy the Customer and retain his goodwill for future business.
